WebInterstate Privacy Policy for the MediMatrix Service and Associated Applications

WebInterstate has developed several applications and services (referred to as “Services”), including but not limited to the MediMatrix Service, Gateway Applications, Apps (i.e., iOS and Android apps), and other related online tools and services that link or refer to this Privacy Policy.

These Services are intended for use by companies that have an agreement with WebInterstate to utilize Services. If you are using the Services in a workplace or on a device or account issued to you by your employer or another company (referred to as “Organization”), that Organization may have its own data policies regarding use of applications and Services it provides to users.

As the controllers of this data, Organizations have the right to access and manage data associated with Services provided by WebInterstate. Please contact your Organization if you have questions regarding the information/data they collect, manage, and track.

Collecting and Using Your Personal Data

Types of Data Collected

WebInterstate collects and processes a variety of data which may include Personally Identifiable information (PII) and Protected Health Information (PHI).

  • Data provided by the Organization, such as:
    • Texted entered into the Service
    • PDFs, XML, and Images uploaded to the Service
    • Login credentials such as username and password
    • Billing information
  • Event Logging, such as:
    • Changes or modifications to data (adding, editing, or deleting data)
    • Communication logs with other systems such as outbound emails and clearinghouses
  • Location Services
  • Usage Data, such as:
    • Your device’s Internet Protocol address (IP address)
    • Browser type
    • Browser version
    • Pages visited
    • Date and time of visit
    • Time spent on pages
    • Unique device identifiers
    • Other diagnostic data
  • Tracking Technologies and Cookies, such as:
    • Cookies or browser cookies—small files placed on your device
    • Web beacons—small electronic files (also referred to as clear gifs, pixel tags and single-pixel gifs)

Use of Your Personal Data

We use Data provided by the Organization, Event Logging, and Location Services to provide the contracted Services to the Organization and to fulfill our contractual obligations to the Organization.

We use Usage Data and Tracking Technologies and Cookies to improve the performance and content of our site to better meet your needs. You can set your browser to refuse all cookies or to indicate when a cookie is being sent. Cookies can be “Persistent” or “Session” cookies. Persistent cookies remain on your device when you go offline, while session cookies are deleted as soon as you close your browser.

Sharing and Disclosure of Your Personal Data

We will share your personal data with Organization’s owner and/or authorized management.

Third Parties:  Upon approval from Organization’s authorized management, certain personal data will be provided to users and/or partner companies doing business with Organization. For example, Support may help Billing work with a clearinghouse.

Legal Requests:  If we receive a legal request, including but not limited to subpoena, warrant, and discovery motion, we will direct the requesting party to contact Organization directly for the information. If legally compelled to provide the information/data, and unless legally prohibited, we will make attempts to notify Organization of the request.

Law Enforcement:  Under certain circumstances, we may be required to disclose your personal data if required to do so by law or in response to valid requests by public authorities.

Other Legal Requirements:  We may disclose your personal data in the good faith belief that such action is necessary to:

  • Protect and defend our rights or property
  • Prevent or investigate possible wrongdoing in connection with our Services
  • Protect the personal safety of users or the public
  • Protect against legal liability

Business Transactions:  If we are involved in a merger, acquisition or asset sale, your personal data may be transferred. We will provide notice to the Organization before your personal data is transferred and becomes subject to a different Privacy Policy.

Your personal data is processed at our operating offices and in any other places where the parties involved in the processing are located. Email:  Please know that if you send us an email communication to any webinterstate.com (and affiliates) domains, information may not be encrypted. You should also know that unless otherwise noted, the email and form functionality on our site does not provide a completely secure and confidential means of communication. It is possible that your email communication may be accessed or viewed by another internet user while in transit to us. If you wish to keep your information private, you should not use our email.

Faxing:  Please know that if you send a fax to our non-secure fax number, information is transferred via a third-party software service and is not encrypted. A direct connection fax number is available if you need to send confidential information.

Website and Contact Form:  Contact form data is submitted via email and is not encrypted.

Links to Other Sites:  WebInterstate and Services may link to other websites. WebInterstate is not responsible for the privacy practices or content provided by other website owners.
